Event Terms and Conditions


Definitions:

1.1 Agreement: Refers to these Terms and Conditions.
1.2 Delegate: Refers to an individual who is attending or participating in, or an accompanying guest, at an Event organised by Moore Global.
1.3 Event: Signifies the Event organized by Moore Global that the Delegate agrees to attend.
1.4 Personal Itinerary: The itinerary given to the Delegate specifying the required attendance at conference sessions, workshops hosted by the Sponsors, lunches/dinners and activities at the Event.
1.5 Sponsor: Represents the party in the sponsorship agreement for the Event with Moore Global.
1.6 Venue: Denotes the location where the Event takes place.

2. Delegate Responsibilities:

2.1 Arrangement of Travel and Accommodation: The Delegate is solely responsible for making all necessary arrangements related to travel and accommodation for attending the conference Event.
2.2 Costs Incurred: All costs associated with travel and accommodation, including but not limited to transportation and lodging are the responsibility of the Delegate.
2.3 Entry Requirements: Delegates must ensure the right of entry, obtain necessary visas, and follow travel advice and health and safety rules.
2.4 Itinerary Fulfilment: Delegates agree to fulfil their Personal Itinerary.
2.5 Insurance: It is the responsibility of the Delegate to ensure adequate insurance is arranged, from a reputable insurer, for all risks and at such a financial level of cover as would be taken out by a prudent traveller to cover death; personal injury; loss of cash, luggage and personal belongings; medical expenses and cancellation costs in respect of all the Event activities.
2.6 Age Restriction: For insurance purposes, no person under the age of 18 is permitted to participate in any of the conference sessions or related activities. This includes accompanying guests, who must also be over the age of 18. 

3. Payment Terms

3.1 Payment Schedule and Booking Deadline: Delegates can confirm their attendance by making an initial payment as required by the applicable Registration Fee. Where an early booking offer is available, bookings completed with a deposit or full instalment before the specified deadline will be eligible for a reduction on the total Delegate Registration Fee, the exact details of which will be determined on an event-by-event basis and will be detailed on the Event website (see below).
3.2 Final Payment and Due Date: The remaining balance must be settled by the due date, which will be communicated based on the specific Event’s schedule. For bookings made after the initial deadline, the final payment is due within 30 days from the invoice date.
3.3 Payment for Attendance: To confirm attendance at the Event, Delegates are required to make full payment either immediately upon booking or by the stipulated due date, the details of which will be provided in the event-specific information.
3.4 Costs Not Included in Registration Fee: The Registration Fee does not encompass expenses related to travel or accommodation. It is exclusively designated for Event participation.
3.5 Invoicing and Payment Deadline: Upon request for an invoice, payment must be remitted promptly and no later than the deadline preceding the Event. Failure to meet the specified payment timeline may result in Moore Global reserving the right to cancel the booking without prior notice.
3.6 Payment Methods: Accepted payment methods include credit card or bank transfer. For bank transfers, it is essential to clearly indicate the Booking Reference and surname in all related communications.
3.7 Contact for Payment Queries: For any inquiries regarding payments or invoicing, participants are encouraged to reach out to the Finance Team via email (MGNL.Finance@moore-global.com) for assistance.

4. Travel and Accommodation Arrangements:

4.1 Booking and Confirmation: Delegates must personally handle the booking and confirmation of travel tickets, ensuring accuracy in dates and details.
4.2 Transportation: The choice of transportation method, such as flights, trains, or other means, lies within the discretion of the Delegate.
4.3 Selection and Reservation: Delegates are responsible for selecting and reserving accommodation that suits their preferences and needs.
4.4 Extended Stay: Delegates extending their stay must notify Moore Global. Extended accommodation costs are at the Delegate’s expense.
4.5 Timely Vacating: Delegates must vacate Event rooms by the specified time; failure may result in additional charges.
4.6 Additional Costs: Any additional costs related to personal expenditure such as room service, mini-bar, spa treatments, telephone calls, or other amenities are the Delegate’s responsibility and must be settled on the day of your departure.

5. Cancellation:

5.1 Substitute Delegate: In case of cancellation by the Delegate or their organisation, efforts will be made to send a substitute Delegate of comparable authority.
5.2 Termination: Written notice of termination or cancellation must be delivered to Moore Global.
5.3 Moore Global’s Discretion: Moore Global reserves the right to exclude or reject any person from the Event if it reasonably believes that the Delegate, (or his/her employer), accompanying guest may be engaged in activities which are deemed to be contrary to the best interests of the Event, or which appear to be unethical or to be in breach of the law.
5.4 Cancellation Terms: Should you cancel within 45 days of the conference start date and are unable to provide a substitute delegate, a refund will not be available. These cancellation terms apply to both Delegates and Accompanying Guests and are subject to Moore Global’s discretion.

6. Liability:

6.1 Exception to Liability: Moore Global’s liability is not limited or excluded for death or personal injury caused by gross negligence, fraud, fraudulent misrepresentation, or any other liability that cannot be limited or excluded by applicable law.
6.2 Limitation of Liability: Subject to Clause 6.1, Moore Global is not liable to the Delegate for personal injury, various types of losses or damages, including loss of profits, goodwill, business opportunity, anticipated savings, loss of use, or corruption of software, data, or information. This includes special, indirect, or consequential losses.
6.3 Property and Insurance: Moore Global, its employees, or agents are not responsible for loss, theft, or damage to the Delegate’s property during travel to and from the Event. The Delegate is required to have insurance covering various risks related to the Event activities.
6.4 Indemnification: The Delegate is required to indemnify, defend, and hold Moore Global harmless from various liabilities arising from the Event, except for those caused by the negligence of Moore Global or its appointed contractors.
6.5 Application to Venue Visits: Clauses 6.1 to 6.4 also apply to trips by the Delegates organized by Moore Global to visit the venue before the Event.
6.6 Non-Waiver Clause: Moore Global’s failure to insist upon strict performance by the Delegate does not waive or release the Delegate from liability under the terms and conditions.

7. Changes to the Event:

7.1 Program Alterations: Moore Global reserves the right to make changes to the Event, including but not limited to the schedule, venue, speakers, and program content. In the event of any such changes, reasonable efforts will be made to notify registered participants in advance.
7.2 Venue Unavailability: At Moore Global’s sole discretion, should the venue become unfit or unavailable for occupancy, or shall be substantially interfered with, by reason of fire, flood, tempest or any other such cause or as a result of government intervention, malicious damage, acts of war, strike, lock-out, labour dispute, riot or any other causes or agency over which Moore Global has no control, Moore Global is not liable for costs, damages, or expenses incurred by participants due to venue unavailability.
7.3 Cancellation by Moore Global: Moore Global reserves the right to cancel the Event for any reason. In the case of cancellation, registered participants will be notified, and a refund of registration fees, if applicable, will be provided at the discretion of Moore Global.

8. Governing Law and Jurisdiction:

8.1 Applicable Law: This Agreement and any dispute or claim arising out of or in connection with this Agreement or its subject matter (including, but not limited to, non-contractual disputes or claims) shall be governed by and construed in accordance with laws of England and Wales and Moore Global and Delegates hereby submit to the exclusive jurisdiction of the English courts.
