This Privacy Policy outlines how we collect, use, and share your personal information when you register for and participate in our events or conferences. By engaging with us, you consent to the practices described in this policy.

This is applicable to both virtual and physical events, unless we explicitly refer to one of them.

Moore facilitates a global accountancy and consultancy network of independent member firms (“the Network”).  Personal interactions are at the core of our business, so we have implemented this policy for reasons of lawfulness, fairness and transparency in relation to our use of Personal Data.

Data Collection

Collection of Personal Information

We may collect and process the following Personal Data relating event delegates and speakers in the following ways:

1. Event Registration and Participation:

  • When you sign up for our events, we collect personal and professional details, including your name, surname, title, job title/position, company, and contact information, including email addresses and telephone numbers.
  • This information helps us communicate logistical details and manage your participation in the business programme and networking activities.

2. Additional Information:

  • For a better event experience, we may request additional details such as dietary requirements, passport information, and special needs or requirements in accordance with the Disability Discrimination Act and European Accessibility Act.
  • Attendees may have the option to share contact details or profile images via profiles on event applications. If you choose to do so, this information will be visible to other delegates.
  • Special Categories of Personal Information: Any sensitive information, such as race, ethnicity, health, or genetic data, will be treated with utmost respect and used solely for logistical purposes to make sure you have a comfortable and enjoyable experience at our event. We process special categories of personal information only with your explicit consent, where it is needed for reasons of substantial public interest for equal opportunities monitoring, or where we need it to carry out our legal obligations.

Data Sharing

Sharing of Event Information

1. Event Sponsors:

  • Some information collected at registration may be shared with event sponsors, whose identity will be communicated in advance.
  • Event sponsors may contact you for feedback or marketing. We are not responsible for their privacy practices, and your engagement with them is at your discretion.

2. Affiliates and Service Providers:

  • We may share your information with affiliates, companies within Moore Global, suppliers and service providers (e.g., website and platform hosting suppliers, email service providers, event venues) to process the information as necessary to provide the service, complete transactions, or fulfil requests.
  • Service providers must comply with applicable laws, maintain data security, and process personal data as instructed.
  • We do not permit our third-party service providers to use the personal information that we share with them for their marketing purposes or for any other purpose than in connection with the services they provide to us.

3. Third-Party Partners:

  • Where you have participated in a course or event in which we partner with third parties (such as a webinar or conference), we may share information with the sponsor of the activity. This information is limited to Name, Email Address, Role, Location and Firm Name.
  • When you visit an exhibition stand or attend a conference session at one of our events and allow your badge to be scanned, we may share your information with the stand owner/conference session provider;

4. Third-Party Data Sharing:

  • Personal information may be shared with sponsors or strategic partners that wish to send you information about their products and services that may be of interest to you, in accordance with data protection legislation (legitimate interests, of us and our partners, to promote our products and services, and of our customers, to keep them up to date with promotions, events and subscriptions which may be relevant to their professions and job roles).

5. Opt-Out Option:

  • You can opt out of having your information shared with third parties when providing it to us and in subsequent communications.

1. Surveys:

  • We may ask you to complete surveys electronically or on paper. These may be used to gain feedback on our events.
  • We may also run surveys at our events on behalf of the event sponsors. If this is the case, we will check that you are happy to share your answers and other personal data with the relevant sponsor.

2. Recording at Events:

  • There will be a photographer and/or videographer at our events. If you are filmed, photographed, and/or recorded as part of any of our events, your image or likeness may be used for future event show guides, in promotional material, sponsor and media partner coverage in print, online or social media channels.
  • We may photograph, film, broadcast or record our events in which case we may process information such as your voice, likeness and image if you are identifiable from such photograph, film, broadcast or recording.

Delegate Lists:

  • Delegate lists shall be available via the Event Application via Stova with name and company by default. This shall only be accessed by other event delegates and delegates can remove themselves from this list.
  • If you choose to upload any other personal information, including profile pictures these shall also be visible to other delegates.
  • Push notifications may be used via the application, but delegates have the option to disable these at any time.

Social Media Interactions

Social Media Interactions

  • We may use your personal information to interact with you on social media platforms including LinkedIn, Twitter/X, Instagram and YouTube, for example, to respond to comments and messages, post, ‘retweet’ and ‘like’ posts.
  • When you interact with us on social media platforms, we may collect information you share with us on such platforms and also keep records of our interactions.

Here we set out the basis upon which we process Personal Data.  Please note that we may process Personal Data for more than one lawful basis, depending on the specific purpose for which we are using that information.

1. Legitimate interests

  • We may process Personal Data for the purposes of our own legitimate interests in the effective and lawful operation of our business, provided that those interests do not override the interests, rights and freedoms of a Data Subject which require the protection of that Personal Data.   Examples of such processing activities are set out above.

2. Compliance with a legal obligation   

  • We are subject to legal, regulatory and professional obligations. We will process Personal Data as necessary to comply with those obligations.
  • We also keep certain records to demonstrate that our services are provided in compliance with our legal, regulatory and professional obligations.

3. Consent  

  • In certain limited circumstances, such as where a Data Subject has agreed to receive marketing communications from us, we may process Personal Data by consent. Where consent is the only basis upon which Personal Data is processed the relevant Data Subject shall always have the right to withdraw their consent to processing for such specific purposes.
  • It is our policy to only process Personal Data by consent where there is no other lawful basis for processing.

Keeping Data

How Long will we keep your Personal Data?

  • We retain the Personal Data processed by us for as long as is considered necessary for the purpose for which it was collected (including as required by applicable law or regulation).

  • As the Network is global, Personal Data may be transferred to member firms outside the United Kingdom and European Union (EU) and to countries that do not have laws that provide specific protection for Personal Data.  All Personal Data will be provided with adequate protection and all transfers of Personal Data outside the United Kingdom and EU are done lawfully.
  • Where we transfer Personal Data outside of the United Kingdom or the EU to a country not determined by the European Commission as providing an adequate level of protection for Personal Data, the transfers will be under an agreement which covers the United Kingdom and/or EU requirements for the transfer of personal data outside the United Kingdom and the EU, such as the European Commission approved standard contractual clauses (or UK-specific lawful transfer mechanism to the extent applicable).
